Microsoft Teams problems and possible fixes
Edgar Cervantes / Android Authority
Teams is pretty intuitive to use, and most issues you might come across are easily fixable. Here are some of the common stumbling blocks for users, plus ways in which you can get over them.
I have poor audio and video quality in Teams meetingsIf you’re finding that the quality of the sound or video is poor then it may be an issue with network bandwidth. This might be fixed by closing other programs and applications that may be consuming bandwidth, checking for system updates, or even resetting your router. Other things you can try are clearing the cache and cookies in your browser, reducing the number of extensions that are active, or trying a different browser.
I can’t create a Microsoft Teams meeting linkIf you are using Microsoft Teams for school or work, your system administrator has control of who can set up teams, channels, and meetings. If you don’t see the option, you need to contact the admin to get the necessary permissions.
The Microsoft Teams meeting link that I received doesn’t workAssuming the link is correct, and others have been able to use it to access the meeting, it might be an issue with your app or system. You can try clearing the cache and cookies of your browser, restarting the Teams app, signing out of your Teams account and signing back in again, trying to access the meeting on the Microsoft Teams web app, accessing the link on a new browser tab or a different browser, or updating the app.
People can’t join my Teams meeting with the link that I createdFAQs
Yes. Once a participant receives a link, they can join the meeting. They can connect to a meeting using a browser if they don’t have the Teams desktop or mobile apps. Anyone who isn’t a part of a channel or team can join a meeting as a guest.
How To Add Microsoft Teams To Outlook
Microsoft’s Office 365 offers the feature of synchronization, which you can use to connect all your Office programs, including Microsoft Teams and Outlook. Using Outlook, you can perform various tasks, such as scheduling a Team meeting or even sending an invite to your email. This synchronization of programs helps you get more efficient at work.
If you’ve landed on this article, we assume you’re interested in learning more about how you could add Microsoft Teams to your Outlook. In this article, we will show you how exactly you can make this add-in available on your Outlook, so keep reading!
Generally, when you install both of these programs together, the add-in gets available on Outlook automatically. However, there are a few instances where the add-in could be missing on your Outlook application.
As the add-in isn’t apparent on the normal display, this could confuse a few users. You will first want to check if the add-in is already available on the program by following these steps:
If the section isn’t available on the ribbon, use the following methods to add MS Teams add-in on Outlook.
Although the add-in is supposed to be readily available in the Outlook application, some users have reported missing the add-in from the calendar view. If you cannot find the Teams Meeting section, refer to the fixes we’ve mentioned below to make the add-in available on your Outlook program.
As we mentioned, the add-in should appear automatically when you install both programs. If you installed one program and used it prior to installing the other one, chances are that the add-in could not activate itself.
In this situation, you can simply close the program you had running and then restart it after you open the newly installed program. Keep in mind that this is applicable to both, Outlook and MS Teams. After you restart the programs, the add-in should automatically activate itself, and you can access it from the Calendar view on Outlook.
Most users found out that their Microsoft Teams add-in was actually disabled from the add-in section in Outlook. The add-in could be either deselected from the add-in section, or it could also be put away in the list of disabled items. Here are the steps you can follow to check if the Teams add-in is disabled on Outlook:
Sometimes, certain features do not work as expected because the Office program has gone corrupted. When certain program files get corrupted or missing, the application cannot retrieve the information it requires to carry out your commands. The add-in may not appear on Outlook because of a corrupted program file.
You can easily solve a missing or corrupted file by repairing or resetting Office. When you repair Office, all the problematic files are replaced, and the missing files are restored. If you suspect that you might be dealing with a corrupted Office program, follow these steps to repair Microsoft Office:
If you still do not find the add-in on Outlook, you could be logged into different accounts on Outlook and Teams. To schedule a meeting on Teams, you must have an account on Teams with the same email ID as Outlook. Check your address and see if the add-in appears.
It could also be that your email is not added to an organization. You can only schedule meetings from accounts that are added to Teams for the business package.
How To Change The Background In Microsoft Teams
Microsoft Teams, like Zoom, allows you to make video calls among devices and hold virtual meetings. The app is particularly useful for remote teams to hold meetings when co-workers are spread across different locations.
The background effects in Microsoft Teams allow you to remove the distractions of what’s happening around you in a video call and present a professional image. Plus, the feature helps others in the meeting focus on what you’re saying, not the strange object behind your shoulder.

How To Clear Microsoft Teams Cache On Iphone, Ipad, And Mac
Microsoft Teams is one of the popular Meeting apps available for Mac, iPhone, and iPad. Like every other app on your device, Teams will also have its app cache that can take up space and invite bugs or app crashes. The easy way to solve this is to clear the Microsoft Teams cache.
While it might sound technical, the steps to clear the cache on Microsoft Teams are rather simple – a bit simpler than joining a meeting on the app. I have mentioned how you can do it on iPhone, iPad, and Mac.
Why should you clear Microsoft Teams cache?
Apart from the actual app data, many apps have to download additional files from the servers to load data faster and store some other information as well as files to reduce the loading time. While it is supposed to help the app work efficiently, there are some flaws too.
Over time, this information will accumulate, and the app might not be able to clear cache files automatically, thus taking the storage space and affecting the app’s stability since it has to process a lot of data. Eventually, you will see issues such as freezing or crashes; as a solution, you can clear the cache of the Teams app.
How to clear Microsoft Teams cache on iPhone and iPad
Users can clear their Microsoft Teams client cache on an iPhone with the following methods.
Delete Teams cache via app
Launch the Teams app on your iPhone.
Here, choose Data and Storage.
Offload app
Open Settings app on iPhone → tap General.
Scroll down and choose Teams.
With this, it will delete all the storage used by the app except the documents and data. Then, to recover it, all you have to do is reinstall the app if it’s still available from the App Store.
From Settings app
Launch the Settings app.
Scroll down and tap Teams.
How to clear Microsoft Teams cache on Mac
Microsoft Teams is an app used by many professionals, as the Microsoft ecosystem is one of the best for productivity users. And if you are facing app crashes or some other issues because of the app, try to clear the cache.
Using Finder
Force Quit the Microsoft Teams app.
Open Finder.
Hit the Go menu.
Delete all the files and folders inside it.
Don’t worry; all these files are cache files. Their existence is because the Teams app sets up required files and folders.
Using TerminalThere are a lot of things that you can use Terminal for, such as clearing the app cache of Microsoft Teams. For that”:
Launch Terminal on Mac.
While you won’t see any confirmation, this step will clear the Microsoft Teams cache on Mac.
How to clear Microsoft Teams cache on web browser
Apart from the app, many users use Microsoft Teams on browsers on Mac.
Clear Microsoft Teams cache in ChromeYou can also clear the cache on Chrome for Microsoft Teams. Here’s what you need to do:

Now, hit the delete icon next to Teams.
FAQsWill clearing the cache delete anything from Microsoft Teams?

What is the difference between clear cache and clear data?
When you clear the cache, it will only clear the temporary files, whereas when you clear data, you completely erase all the data stored inside the app.
Is It Safe to Clear the Teams Cache?
Yes. It is safe to clear your Microsoft Teams cache on Mac, iPhone, or iPad as it will only clear temporary files.
That’s it!

How To Show 3×3 Video View On Microsoft Teams To See All Participants
Organizations around the world have shifted to one collaboration tool or the other during the coronavirus pandemic. While many companies have reserved themselves to something as simple as Zoom or Google Meet, for those who are dependent on Microsoft’s office utilities, Teams has managed to achieve some popularity of its own.
Like other services who are continuously trying to match Zoom’s extensive set of features, Microsoft is also steadily rolling out updates to its Teams app across different platforms. The Redmond giant has started offering users the ability to view up to 9 participants during a meeting on Teams in a 3×3 grid format so that you can see as many people as possible.
The following post will help you enable a 3×3 video view on Microsoft Teams so that you can see all the participants in a meeting.
How many participants can you see in a Teams meeting at once
Until earlier this week, Microsoft only allowed viewing up to 4 members that were last active in a meeting session. After the latest update (May 18, 2023), you can see up to 9 participants in a 3×3 format when conducting a video conference.
Since the service supports up to 250 participants in a meeting, the rest of the members will be shown as icons at the bottom of the screen.
In contrast, Zoom allows users to view up to 49 participants in a single grid while Google lets you see up to 12 members on Google Meet.
How to show 3×3 video view on Microsoft Teams
The 3×3 video view feature on Microsoft Teams pops up when at least nine members are logged into a meeting screen. Teams automatically switches the view to a 3×3 grid once it detects 10 participants in total on your screen.
Unlike on Google Meet, there’s still no manual way to change the layout of the participants shown on your screen on Teams.
Not getting 3×3 video view? Make sure…
You can enable the 3×3 video layout if you have fulfilled the following conditions:
Add at least 9 participants other than yourself
For the new 3×3 video layout to work, you need to add at least 9 participants to the call screen, not counting yourself.
Turn your video ON and request others to enable video
Microsoft has made it clear that the 3×3 grid view will only show up if participants have their video turned on.
If participants have not enabled video from their side, their profile picture will show up or their initials will be shown inside the grid. You can turn on the camera by toggling the camera icon at the bottom of the screen to ON position.
Enable your microphone and speak actively
Teams will prioritize you to be picked up inside the default grid if you’re actively speaking during the meeting. Besides showing people with video, a user will only be shown inside the grid if they’re active vocally during the course of the meeting.
To turn ON (or Unmute) the microphone for yourself, tap on the microphone button at the bottom of your call screen.
Log off and log in again on Teams
In a reply to a UserVoice post regarding the feature, a Teams engineering official said that the 3×3 video view has completely rolled out for everyone using the Microsoft Teams client on Windows and Mac.
If you still don’t see the feature when conducting a meeting, you can try signing out of your Teams app on the PC and signing in back again.
Can you see more than 9 participants?
Microsoft says that it has completed the rollout of the new 3×3 video view on Teams. It has also acknowledged that the 3×3 grid is just a start and it’s actively working on including more videos during a meeting session.
Microsoft Teams support team has also confirmed that the ability to see more participants in a meeting will also be extended to the Teams app on mobile devices.
What else can you do
Although Microsoft has promised the ability to view more people on Teams, you can also get your voice heard in this UserVoice that first requested the feature.
The UserVoice has garnered over 54K votes and you can also vote for the feature by registering your email address, where you will get updates on the status and availability of the feature.
