Every small business owner out there is bound to deal with some kind of social media snafu. Customers might complain on review sites like Yelp, they might share photos of shoddy service on Facebook, or they might craft snarky hashtags on Twitter about a company’s name or products.

Small business owners have to respond to all of these attacks to save their reputations. But many business owners (understandably) get writer’s block. They don’t know what to say. That’s especially true when the attacks come due to some kind of business mistake.

And if they hire an SEO firm to step in during the crisis, we might also be momentarily stumped. What’s the right way to apologize? Here is my foolproof business apology template, along with some notes about apology pitfalls.

Apology Dos

When a snarky complaint comes about due to a genuine mistake made by a business (and many complaints fall into this category, unfortunately), there’s a quick and straightforward way to handle the issue. Companies should issue an apology that contains these words.

“I am Sorry”

An apology isn’t really an apology without these three little words. Using them allows you to demonstrate that you really do feel remorse for causing an issue that prompted a complaint. Starting an apology with these words helps you show you are ready to take responsibility for what has happened in the past.

A good example comes from dreamy Benedict Cumberbatch, who was forced to apologize for using a slur during an off-the-cuff interview. In his statement to People, the English actor used only one sentence of introduction before simply stating his apologies. It’s a classy way to start out.

“Here’s What Happened”

People who complain often want to know just went wrong. An apology should provide them with that data. Otherwise, the complaints will keep on coming in until people feel as though the issue has been addressed in a complete and comprehensive manner.

A detailed explanation helps to highlight the fact that there’s been an investigation and that people are aware of the issue and how it came to be. That can quell any bubbling concerns about a coverup or a conspiracy.

“We’ll Make Sure it Doesn’t Happen Again”

While explaining what happened is always a great idea, it’s best to build on that success by outlining just what you plan to change in order to keep the future gaffe free. Putting in two lines about the policies you’ll change, the people you’ll hire or the groups you’ll fire can demonstrate how serious you are about solving the problem for good.

“If You Have Additional Concerns, Contact Me Here”

When it comes to social media, the quicker you can stop the chatter about a problem, the better. That’s why providing an open line of communication is an excellent crisis mitigation step.

If you can, set up a special mailbox for complaints, or put a few more people on the clock to answer questions. Then, man those phones and boxes like crazy and make sure every issue is addressed. You’ll keep the issue quiet, while keeping those complainers happy.

Apology Don’ts

It’s remarkably easy to mess up an apology and do more reputation damage than you ever thought possible. Here are three common errors that could make your apology so much less effective.

Adding Fuel to the Fire

If you’re asked to apologize, either for your own business or for a client, resist the urge to get up on your high horse and punish the speaker. Sure, you might be offended or upset, but those feelings shouldn’t wend their way into your response.

Defending Your Work

It’s very tempting to sprinkle a few words about your great work in your apology. Typically, these little sneaky messages end up buried in sentences that should be all about explaining how the problem took place. But instead of being dispassionate and explaining the facts, a botched apology will contain a lot of excuses.

Speaking Too Quickly

It sounds counter intuitive, I know, but speaking up too quickly about an issue can lead to yet more problems. Consider this: In a study published in Science Direct, researchers found that apologies given later were more effective than apologies given earlier. Apparently, allowing a little time to lapse between an issue and an apology allows the wounded party to express his/her concerns. The apology that comes from that listening process seems to have more power.

Dashing off an apology just as soon as an issue hits the water, without doing any investigation into the problem or considering who the wounded party might be, can lead to apologies that ring a little hollow and that don’t really solve the problem.

A good rule of thumb: When you know the scope of the problem and have solutions in place, that’s the time to issue a heartfelt apology stuffed full of detail. If you feel compelled to speak before then, a simple statement that suggests that you’re aware of the issue and working on a solution might help. Just resist the urge to speak out until you know just what you’ll need to say to make the issue go away for good.

Following Up

Once you have a good apology going, share that thing far and wide. Pop it up on your social media accounts, put it on your company website and be sure you’re making the most of all of the hard work you’ve done to address the concerns that are swirling.

And finally, be sure that you keep the promises you’ve made in that apology. After all, there’s nothing worse than a company that keeps making the same mistake, over and over again. Do that, and all the apologies in the world aren’t likely to help. Once you’ve identified an issue, you simply must fix it.

Use Dark Mode Limit Notifications

Cutting down on the number of notifications is a quick way to save a little battery life. Every time a notification arrives, the phone has to light up and make a connection to Wi-Fi or cellular towers.

To reduce the number of notifications:

1. Open the Settings app and tap on notifications.

2. Go through each app individually (yes, this could be a lot of apps) and adjust whether or not you want to receive notifications through banners, sounds, badges, etc.

3. The more you disable, the more battery life you can win back.

Reduce Device Brightness

Turning up the brightness on your iPhone has a negative impact on your battery. The higher the brightness, the more battery it uses.

Turn Off Location Services

Location and GPS tracking can be incredibly useful with apps, especially map applications, but using it frequently can impact battery life.

To get to these location functions:

1. Open the Settings app.

2. Scroll until you see the Privacy option.

3. Tap on “Location Services.”

Now you have an opportunity to go through the list app by app and see what is using your location information. Weather, email, and retail store apps are likely to want to know your info to serve you better. Other apps may not necessitate such access, so disabling them will allow you to preserve battery life. You can also disable Location Services entirely, but that also prevents critical apps like Maps from assisting you while driving.

As you can see, it is easy to save battery life on an iPhone. Smaller, less impactful options like Siri or dynamic wallpapers can also eat up small amounts of battery life each day, so you may want to disable them, too.

Geek 101: What Is V

If you’ve played a PC game in the past decade, you’ve probably found a mysterious “V-Sync” option while fooling around with your graphics card settings. Enabling V-Sync can make fast-paced action games like Portal 2 look smoother, but run slower; if you’re lucky you’ll have the option to switch between multiple forms of vertical synchronization like double or triple buffering, but what’s the best choice for your needs? Is vertical synchronization even necessary if you own an LCD display?

To answer these questions and more we did a bit of research, did away with the jargon and created a brief guide to what V-Sync means, how it works and how you can use it to get the most out of your machine.

What Is V-Sync?

It’s short for vertical synchronization, an optional setting on your graphics card that throttles the frames being drawn to match the number of times your monitor refreshes itself every second. If you have a 60Hz monitor (i.e. one that refreshes 60 times a second), V-Sync will adjust the framerate for the game you’re playing or app you’re using to max out at 60 frames per second. This GPU feature became necessary back when everyone played games on big CRT monitors, which refreshed themselves by physically moving an electron emitter back and forth across the interior of the screen at regular intervals to redraw the entire image.

In an ideal world the frames per second generated by your graphics card would sync up perfectly with the refresh rate of your monitor, ensuring that every time the GPU writes a frame into video memory the monitor is ready and waiting to pluck that image data out of memory and draw that frame on-screen. The problem comes when your GPU starts spitting frames into video memory faster than your monitor can retrieve them, causing graphical distortion as the images start to overwrite one another.

Why Should You Use It?

You should enable V-Sync if you notice a lot of graphical distortion caused by movement during action sequences when playing games or watching movies on your PC. When your graphics card renders individual display frames faster than your monitor can refresh itself, the extra frames end up partially overwriting previous frames to create odd graphical glitches like fractured lines or objects that look as though they’ve been sliced in half. These distortions are colloquially known as “screen tearing”, and enabling V-Sync eliminates them by keeping your graphics card from sending frames to the monitor before the monitor is ready to display them, ensuring smooth performance.

The phrase “vertical synchronization” is an antiquated reference to CRT monitors, which were designed to refresh themselves vertically at regular intervals; modern LCD monitors don’t actually have physical refresh cycles, but rather a response time rating (5 milliseconds, for example) that denotes how long it takes a single pixel to change color from black to white. Of course your LCD monitor still needs to query your graphics card for new frames at regular intervals, and is thus still vulnerable to distortion when displaying frames faster or slower than the GPU can render them. When we’re speaking of LCD refresh rates, we’re actually talking about how often the display polls the input device for a fresh image.

For example, let’s say your spare 24-inch LCD monitor demonstrates a refresh rate of 60 frames per second, but your GeForce GTX 560 Ti graphics card consistently spits out 90 frames per second when you’re playing Team Fortress 2. That means that every second your graphics card is providing 90 new images while your monitor is only updating itself 60 times, creating a serious sync problem.

Why Shouldn’t You Use It?

Depending on which form of V-Sync you use, enabling it can have a deleterious effect on your PC’s performance. There are two popular V-Sync algorithms: straight frame buffering and ping-pong buffering (also known as page flipping.)

The simplest and most common way to solve GPU/monitor sync issues is to create a double (and sometimes triple) frame buffer in system memory where extra frames are stored and fed to the monitor as needed. This buffer ensures a much smoother and more appealing image, but can cause problems when playing games that demand quick responses to onscreen events because the GPU already has two or three frames rendered and stored in the buffer beyond what you’re seeing onscreen at any given moment. That means that while the GPU is rendering images in direct response to your actions, there is a miniscule delay (measured in milliseconds) between when you perform those actions and when they actually appear onscreen. Most users will never notice such slight input lag, but hardcore competitive gamers may want to disable frame buffer V-Sync and put up with a few funky graphical effects in exchange for maximum performance.

Ping-pong buffering doesn’t have the same input lag; rather than a straight frame buffer which just backs up excess frames and feeds them to the monitor one at a time, this method of vertical synchronization actually renders multiple frames in video memory at the same time and flips between them every time your monitor requests a new frame from your graphics card. This kind of “page flipping” eliminates the lag from copying a frame from the system memory into video memory, which means there’s less input lag and thus less impact on your actions per minute while playing a game like Starcraft II.

Of course you might want to keep your GPU settings at minimum to maximize your competitive edge in multiplayer games, but that’s a story for another day. For now, you should probably keep V-Sync enabled unless you notice a significant performance boost from turning it off. Screen tearing is no joke, and software improvements like page flipping ensure the negative aspects of V-Sync (input lag, poor framerate) are almost nonexistent.

Recovery Options

Everyone has a different preferred way of backing up their device, and regrettably some don’t do it at all. No matter your current backup process, even if you have none, there are still recovery options for you, with each explained in full on the website so that you can choose the appropriate method.

In the Settings before you start, you can change the software to save to your choice of folders and also choose the output format of your various files. Just be sure to do this before you begin the recovery.

I have a newer iPhone and iPad and back up everything to iCloud. Recovering from iCloud would be too easy, though, so I dug up my old iPhone 5 that I retired last year and tried to do a recovery of what was still stored on my device.

Primo then went to work analyzing the content on my iPhone. It took considerable time, but this was because of two reasons: for one, I’m using a really old Mac Mini that is exceptionally slow, and for another, the reason I stopped using this iPhone was that it had little memory and was full. So there was a lot of data to analyze by a very slow machine.

Once it’s done analyzing your device, it presents you with all the possible files that you can save. They haven’t been downloaded yet. Primo is just letting you know what’s on there should you decide to recover it. Because my phone was so full, some files had been overwritten, at least in part.

This took a very long time. Again, I’m using an ancient computer and a full iPhone, and I was trying to recover attachments from several years. It was already late at night, so I went to bed and let it finish overnight and had a “Completed” message the next day.

All this info was now saved to both my iCloud folder as well as my Documents folder. Because I have iCloud on both my Mac and my iPhone, I can easily move the files out of my iCloud folder on my phone into where they belong. But without iCloud, I would need to transfer through iTunes or another method.

And indeed, every single message attachment dating back to 2010 was recovered. It’s understandable then that it took so long to recover it all. That’s seven years worth of attachments!

Restoring Data to Your Computer

Additionally, other than just recovering your files, you can also fix your iOS system crashes and issues as well. Unfortunately I couldn’t test this feature since I don’t have a device that’s experiencing issues.

But it would have definitely come in handy last fall. When my iPhone 7 was a few weeks old, I did a system update, and it sent me into an endless reboot.
